  1. Each week’s assigned Toastmaster is responsible for making sure speakers and functionaries are reminded, and for entering their names in the appropriate Agenda template.  
  2. The Agenda template is for the convenience of the Toastmaster; if the meeting does not follow one of the typical formats (e.g. only 1 speaker; all-Table-Topics meeting; officer installation; etc.) the times, headings, etc. are all changeable.  The bottom line is – the Toastmaster runs the meeting, and is responsible for keeping it moving and on time.
  3. In addition to entering the Date; Meeting Theme; and Speaker and Functionary Names, the Speech Information - manual number and name of the project (which is typically NOT the speech title) – should be included as well.
  4. Unless the basic template form is being altered (see #3, above), all entry spaces are indicated by italic, gray type on the template.  Just fill those in, then highlight the confirmed entries and remove the italics and replace the gray type with black.  If unfilled functions remain, they should stay in italic / gray to indicate they still need filling.
  5. The Toastmaster is responsible for sending out the Agenda and making sure copies are available for any guests at the meeting.  It is suggested that at least a draft Agenda be emailed to all members 1 – 2 days prior to the meeting (Monday or Tuesday a.m.) as a reminder.  If changes are needed, they can be made the morning of the meeting.
  6. The Toastmaster is also responsible for checking on the meeting room Wednesday morning and notifying the members.  The main number for Rio Auxiliary Services, which makes the room assignments, is 480-517-8216.  Other numbers in that dept. are: Sasha, -78214; Shelie, -78215; and Maribeth, -78225.  Also, if needed, the reception desk at the Rio Conf. Ctr. Is  -78851.  NOTE: Last minute room changes are always possible.  Members and guests should be advised to double check the electronic marquee at either the Conf. Ctr. or the Rio Tower lobbies when they come for the meeting.
